Position Description

The Office Administrator handles the all financial and some weekly service details for Skagit Unitarian Universalist Fellowship. This person reports to the Board of Trustees but is expected to generally work unsupervised on a part-time basis at the fellowship hall. There will be a church representative available for assistance and advice.

Responsibilities

  1. Assembles and prints the weekly Order of Service
  2. Receipts and posts donations, weekly collections and all other income in computer databases, utilizing both QuickBooks and Microsoft Excel programs
  3. Maintains a confidential contact roster of members and friends of the fellowship to be distributed to select recipients.
  4. Makes and receives phone calls and email messages, distributing as needed
  5. Generates checks (board signature required) in payment of staff wages, speaker fees, musicians, outside vendors, utilities, dues, UUA fees, and taxes
  6. Updates a calendar of services, renters and events
  7. Acts as the first contact for potential renters, providing rental forms and information and forwarding requests to the designated rental manager
  8. Completes and edits a weekly online newsletter using information from a variety of sources using a Constant Contact template
  9. Checks building for kitchen and maintenance supply needs and purchases as needed
  10. Picks up and processes mail from the Mount Vernon Post Office
  11. Works with board and church members by locating and providing requested information. Answers weekly service-related inquiries from the public
  12. Maintains files and bulletin boards; prepares occasional church documents as needed

Hours

The job requires approximately 8-10 hours per week at the church building. The exact hours and days can be negotiated with the Board; however, there are some deadlines that must be met which may influence days worked.

Skills

Proficient with QuickBooks, and Microsoft Word and Excel products

Ability to work unsupervised, speak English clearly and meet deadlines

Be conscientious, reliable and respectful of the UU religion (*membership is optional)

Able to successfully pass a background check
